Receptionist (m/f/d) – Part Time

Munsbach, Luxemburg – The overall goal of this position is to ensure the smooth running of the office reception as well as of some office management tasks and broader administration related tasks. This position reports to the Head of HR & General Services.

Your Responsibilities

  • Welcome guests, answer telephone calls.
  • Manage parking gate.
  • Monitor incoming and outgoing company’s daily post.
  • Together with the Office Assistant, align on and manage the presence of facilities related providers onsite.
  • Assist in the day-to-day management of office needs, such as organizing repair work, ordering office equipment, etc.
  • Place ad hoc orders and follow up on their delivery.
  • Prepare meeting rooms and organize catering upon management request.
  • Ensure all invoices related to facilities are dealt with according to internal processes.
  • Monitor Travel management requests from employees according to the company’s applicable Travel Policy and ensure a strict monitoring of costs.
  • Be the first contact person for the travel platform for the Group for upgrades and training.
  • Support the HR department by handing out lunch vouchers to all staff on a monthly basis.
  • Provide organizational assistance for corporate internal and off-site events.
  • Assist the Claims department with ad hoc administrative tasks.
  • Document and update Reception processes.
  • Work closely with and align at all times with the Office Assistant in order to ensure the back up for some facilities management tasks such as:
    • Ensuring the smooth running of office & building related matters in the absence of the Office Assistant.
    • Solving issues with providers (heating / lifts / electricity etc.) that may affect employees in order to avoid/reduce disruptions in the work place.
    • Carrying out coordination and organisational tasks in relation to the supervision of building, equipment maintenance after Head of HR & General Services validation.
    • Take care of company cars related operational requests on demand.
  • Presence is required mornings from 8:00 to 12:00. This position does not allow homeworking.

Your Profile

First successful experience in a similar position.

In-depth knowledge of MS Office and very good organizational skills.

Able to work independently and have a quick apprehension.

Discretion and reliability are fundamental skills as well as being able to multi-task.

Focus and proactivity are indispensable for this position.

Strong ability to communicate effectively both in writing and verbally.

Positive attitude and enjoy working with people.

Very good command of English, French and German.
